Define the approval purpose before the prototype arrives

A hotel furniture prototype should establish the production standard, not simply demonstrate that an item can be made. Before review, confirm which dimensions, materials, finishes, hardware and performance requirements are included in the approval.

The review team should work from the latest drawing revision, material schedule and written comment record. This prevents visual approval from being separated from the technical information that production will follow.

Check proportion, ergonomics and site relationships

Review the item in the way it will be used. Confirm overall scale, seat height, table clearance, storage access, reach ranges and the relationship with adjoining architectural elements.

For guestrooms, check circulation around beds, desks, wardrobes and luggage benches. For public areas, review comfort, sightlines, movement and the expected intensity of daily use.

Inspect construction and service access

Look beyond visible surfaces. Check frame stability, joinery, fixing points, hardware movement, drawer alignment and the method used to support stone, glass or metal components.

Items that integrate lighting, power, plumbing or removable panels should provide safe service access without damaging surrounding finishes.

Approve materials and transitions as a coordinated set

Wood tone, veneer direction, metal finish, upholstery, edge details and stone appearance should be reviewed together. A material can look acceptable on its own but conflict when placed beside another approved finish.

Review exposed edges, corners, seams, shadow gaps and transitions under realistic lighting. Record acceptable natural variation where timber, stone or other variable materials are used.

Test movement, comfort and repeated use

Operate every door, drawer, hinge, runner and movable component. Confirm closing force, alignment, noise and the ability to withstand repeated use. Upholstered items should be reviewed for seat comfort, foam recovery, seam placement and fabric tension.

Convert comments into a controlled approval record

Photograph each agreed detail, identify revisions by drawing or item code and assign responsibility for every open comment. Approval should state whether the prototype is approved, approved with comments or requires resubmission.

Once accepted, retain the prototype or agreed control sample for comparison during manufacturing and final inspection.
